30.21.0 Tabling Policy

With advance approval, the campus permits tabling (or use of tables) in the following specific campus locations: the Miller Campus Center 1st floor atrium between the student mailroom and Rendezvous Café, the lobby of MacArthur Hall near Roo’s Court Café, and on the ground floor of the Miller Campus Center across from the vending machines. These spaces can only be reserved by campus offices/departments or advisors to a SGA approved student organization, and they must follow the process outlined below.

Tabling setups consist of 1 table and 2 chairs, provided and set up by the campus. There can be a maximum of 2 people manning the table during the allotted reservation times, and the people at the table must be enrolled students or current SUNY Canton employees.

Tabling will not be permitted at/near locations that disrupt access to services and supportive resources and will not be allowed during the blackout days as defined below.

The College reserves the right to refuse use of space to groups who do not comply with operational policies, or who are denied access to college space by campus or civil agencies.

Blackout Days

The College has “blacked out” certain days on its calendar wherein the use of the campus and its facilities, including outdoor spaces, are reserved exclusively for campus-related activities that are at the core of its primary educational mission. During these blackout periods, no tabling or use of tables will be allowed. The College designates the blackout periods during the following:

  • Official move-in periods and Orientation of fall and spring semesters.
  • Reading periods and examination periods as set forth on the academic calendar.
  • Commencement-related activities and events.
  • Major fall or spring campus-wide celebrations, including but not limited to concerts, grand openings, Homecoming and Family Weekend, FallFest, and SpringFest.
  • The conservation shutdown of educational buildings and administrative offices as defined on its calendar when the temperature of the offices shall be below 60 degrees Fahrenheit (typically between the end of the examination period when students leave campus for the winter holiday break and a few business days after the first of the New Year). This timeframe is included in the blackout period because the offices are generally closed, and the campus is virtually vacant to conserve energy and to save money to meet state budget reductions.

Tabling

Tabling is the organized practice of establishing a designated table in a designated spot for the purpose of representing an organization, program, or initiative. It typically involves providing informational materials, promotional items, and interactive opportunities to engage attendees, raise awareness, and encourage participation or support. Tabling serves as a strategic outreach and visibility tool. This Tabling Policy does not apply to approved campus events that use tables as part of their setup.

  1. Reserving a Table
    1. Tabling requests must be made through the campus’ EMS reservation software. These requests must be made by an employee from the campus office/department or advisor to a SGA approved student organization who wishes to table. How to reserve a table in EMS:
      1. Sign In:
      2. Select the Reservation Template:
        • Once logged in, choose the reservation template titled: “Request Use of Non-Academic Space – Faculty/Staff.”
      3. Complete Reservation Details:
        • Follow the steps listed on the left side of the screen to fill in all required reservation details.
          • Include the date and time for which tabling is being requested.
          • Be sure to complete all required fields before proceeding.
      4. Review Your Request:
        • As you enter information, your selections will appear on the right side of the screen for your review.
        • When ready, click “Next Step” in the top right corner to continue.
      5. Submit Your Request:
        • After reviewing all details, select “Create Reservation.”
        • You will then receive a confirmation that your request has been submitted.
      6. Monitor for Updates:
        • Watch for notification emails regarding the status of your reservation request.
        • If additional information is needed, you will be contacted by the Special Events Office (specialevents@canton.edu). Please respond promptly to ensure timely processing.
    2. Use of the tabling spaces listed above is limited by SUNY Canton’s building policy and the New York State fire code and requests will be considered on a first-come, first-served basis.
    3. Table reservations are limited to Monday through Friday from 9 a.m. to 3 p.m.
    4. Table reservations must be submitted for review at least 5 business days in advance of the intended tabling date. The event is not approved until the hosting office/department/organization has received an approval email from the Special Events Office, which will be sent to their SUNY Canton email address.
    5. If the event is cancelled, the hosting office/department/organization must immediately notify the Special Events Office by email at specialevents@canton.edu. If the hosting office/department/organization wishes to change anything about the approved tabling reservation, they must contact the Special Events Office and await approval before making any changes.
  2. Proper Conduct During Reserved Times
    1. Individuals must remain behind their tables during the reserved times.
    2. Individuals at the tables must keep their voices/presentations at an auditory level that will not disturb individuals passing through the building, groups in meeting rooms, classes in session, or anyone in student/administrative offices.
    3. Amplified music must be kept at a reasonable level so as not to disturb scheduled meetings/classes or anyone in student/administrative offices.
